Position summary

As the Operations Support Manager, you will provide administrative and operational support to the operations team. You will handle the flow of documents through the business and ensure that all operations responsibilities are completed accurately and delivered with high quality and in a timely manner. Provide support to Operations, Procurement, Credentialing, and Licensing, Program Development, as well as the Governance and Quality functional areas.

Essential functions

  • Complete department forms and documents, applications, and surveys as requested.
  • Manage day-to-day scheduled meetings through a shared Outlook calendar, updating meetings depending on space and conference room availability needs.
  • Provide timely, courteous responses to all requests and inquiries, maintaining the highest levels of confidentiality when warranted including phone calls, staff personnel, processing items requiring signature approval, routing documents for distribution, composing correspondence, filing, faxing, and mail.
  • Provide general administrative support to departmental staff as necessary, which includes, but would not be limited to mailings, photocopying, ordering, and supplying office supplies, word processing requests, expense report submissions, meeting set up, meeting tear down, etc.
  • Provide support to manage and maintain licensure of pharmacy and staff within system. This includes tracking of new licenses, renewal or certification reminders, processing of new licensure applications (where applicable) and provide the management team cross-functional support to in functional areas that pertain to credentialing and licensures.
  • Track other certification and accreditation as needed (DEA registration, URAC, etc.)
  • Manage final copies of contracts, applications, and other documentation for easy retrieval.
  • Participate in all new vendor implementation meetings held by the operations team.
  • Responsible for assisting and coordinating travel arrangement options and communication with staff arriving to corporate for meetings or training.
  • Provide support for pharmacies for any facility needs.
  • Prepare communications to vendors, stores, and internal recipients.
  • Gather information from pharmacy management systems as requested.
  • Updates job knowledge by participating in educational opportunities on a routine basis.

Qualifications

  1. Pharmacy Technician training (Certified Pharmacy Technician a plus).
  2. Experience with and knowledge of pharmacy management systems

Professional Experience

  1. Minimum 2-5 years’ experience in a pharmacy.

  6. Proven ability to multi-task, work in a very fast-paced, dynamic environment, can embrace change, and handle stress/pressures of the job in a tactful, professional manner.
  7. Knowledge of the pharmaceutical, pharmacy, or healthcare setting is preferred.

Technical Skills

  1. Underlying skills that enable an employee to perform effectively on the job.
  2. Excellent computer skills, Technology savvy with website tools, MS Office Word, PowerPoint, Excel, etc.
  3. Ability to easily adapt to learning new software systems they may not be familiar with (i.e., Adobe Acrobat, DocuSign, Monday.com, LastPass, Surveymonkey.com, and others as deemed necessary for the position).
